Job Description:CM Information Management AssistantLocation - KharkivKEY AREAS OF ACCOUNTABILITY :Data entry and information management
  • Oversee and ensure accuracy and standardization of SC and partner CM databases (offline and
  • CPIMS+).
  • Take initiative to troubleshoot and/or harmonize issues related to offline CM databases.
  • Review case load and monitoring statistics with CM Coordinator and CM IMS Officer; assist in setting targets and identifying gaps.
  • Ensure efficient data capture and data entry processes, including CPIMS+ transition.
  • Contribute to maintaining accurate, location-specific service maps.
  • Review and support CM teams (SC and partners) implementation of data protection policy and appropriate standards for confidentiality.
  • Facilitate and document inter-agency and internal CM referrals process, including to/from MPCA and Cash for Protection interventions.
  • Identify other constraints/gaps in information gathering and in information sharing from data collected to efficiently supports programs expectation.
  • Identify the information needs of program staff and partners at field level, such as lists of children who need to be followed up, children with specific protection concerns, referrals and transfers, statistics, etc;
Monitoring and reporting
  • Conduct regular monitoring of data security and data protection processes of CM staff and partners (i.e. storage of paper documentation; password management; online account security; devices; etc.)
  • Maintain overview and generate regular internal reports on case load and monitoring statistics; contribute to donor reports as requested.
Training and capacity building
  • Support with prepare and deliver trainings and ongoing coaching to SC and partners on data management (including CPIMS+) and provide technical support on data entry tools, documentation and forms.
  • For CM and IM related trainings, support with logistical preparation (PR, etc.)
  • Identify capacity gaps and technical support needs related to IM / data management of staff and partners.
Coordination
  • Participate in CM TF as appropriate.
  • Engage in inter-agency CPIMS+ rollout process.

QUALIFICATIONS AND EXPERIENCE
  • Educational certificate, higher level of education is desirable
  • Minimum 1 year of work experience.
  • Knowledge of child protection programs, case management is desirable.
  • Knowledge of or experience working in an NGO is desirable
  • Excellent interpersonal communication skills
  • Computer literacy (including proven working knowledge of all Microsoft Office applications)
  • Excellent attention to detail, organizational skills and discretion when dealing with confidential information
  • Ability to work independently and proactively, interacting with staff from various departments in multiple locations/offices throughout Ukraine
  • Proven ability to work under pressure, handle a demanding workload and prioritize effectively.
  • Positive attitude and willingness to collaborate
  • Motivation to learn and adhere to organizational processes and procedures
