- Coordinate the signing and secure storage of confidential HR documentation, ensuring control over registered documents
- Maintain records of HR documents, organize and store archived documents
- Ensure compliance with standardized procedures for the selection, registration, storage, processing, and usage of HR documentation
- Make entries and updates in employees' workbooks
- Prepare personal files and complete employee personal cards
- Maintain records of employee leave, monitor leave payments, manage the vacation schedule
- Verify required documents during the hiring process of new employees
- Provide documents during internal and external audits
- Keep accurate records of conscripts, reservists, and those liable for military service
- Verify military-related documents during the hiring process and ensure proper registration with relevant authorities
- Notify the Territorial Recruitment and Social Support Center (TRSSC) about changes in employee status or military data
- Inform employees of their obligations and ensure timely responses to summonses
- Maintain personal files, correspondence, and logs related to military registration
- Conduct internal audits to ensure compliance with military registration laws
- Prepare and manage documentation for reserving employees during mobilization or wartime
- Monitor compliance by company officials and employees
- Minimum 3 years' of similar experience in HR and/or Payroll, or as HR Business Partner
- Fluent English (B2+/C1)
- Understanding of technologies applied to HR environments (Workday or other employee's data administration platform, ticketing systems, time and attendance tools etc.)
- Experience in handling military records and compliance documentation is a plus
- Exceptional organizational skills and attention to detail
- Ability to handle sensitive and confidential information professionally
- Strong communication skills to interact with employees and external authorities
